Introduction

Bringing your team onto descon.ai is simple! By adding users, you can assign roles, define cost structures, and ensure everyone has the right permissions to collaborate effectively on projects.

1. Navigating to the Users Section
  1. Go to Organization in the main menu.

  2. Click on Users.

  3. Select the Add User button (top-right corner).

This opens a form where you’ll define the user’s email, role, and direct expense status.

2. Entering User Details
  1. Email Address:

    • Enter the organization email ID of the user you’d like to invite. This will be their login credential.

  2. Role:

    • Select from the role dropdown to set the user’s permissions (e.g., Admin, Project Manager, Team Member).

    • You can customize role permissions in Organization > Roles.

3. Direct Expense Settings
What is a Direct Expense?

Checking “Is Direct Expense” indicates that this user’s hours are considered direct costs toward your revenue. Here’s what that entails:

  • Utilization Rate: Only hours logged by users marked as direct expenses count toward the organization’s utilization. The total working hours of your organisation will also be calculated based on the number of users marked as a direct expense.

  • Daily Reports: Only direct expense users can submit daily reports.

Setting Hourly Cost
  • If “Is Direct Expense” is checked, you’ll be prompted to input an hourly cost for the user.

  • This cost is used to calculate project expenses based on the number of hours a user logs against a project.

4. Finalizing the Invitation
  1. Click “Add User” once the details are filled.

  2. An invitation email is automatically sent to the user.

  3. The invitee will follow the link in the email, create their password, and set up their account on descon.ai.

5. Post-Setup Access
  • Once the user logs in, they’ll see the permissions and features allowed by the role you assigned.

  • If needed, you can always update or remove their user account under Organization > Users.

  1. Set Direct Expense Wisely:

    • Mark designers, drafters, and engineers as direct expenses to accurately track billable hours and project costs.

  2. Review Roles Regularly:

    • Use Organization > Roles to ensure your financial or project management teams have access to edit estimates or review financial data.

  3. Communicate Your Process:

    • Let new users know what to expect—especially which daily reports or tasks they must fill out. This fosters a smoother onboarding experience.
