Editing a fixed fee estimate

Introduction

Project scopes can change, new tasks arise, or fees adjust over time. descon.ai allows you to update your estimates—even if they’ve been activated—so that your project cost data remains current and accurate.

Accessing the Edit Feature
  1. Open the relevant project in descon.ai.

  2. Go to the Estimate tab.

  3. Select the estimate you want to modify.

    • Option 1: Click on the estimate to open it; an Edit button is at the top-right of the pop-up.

    • Option 2: Click the three-dot icon beside the estimate row, then choose Edit.

Understanding Task Statuses and Edit Permissions
Tasks Yet to Start
  • Fully Editable: You can modify or delete these tasks at will.

  • No daily reports are attached to these tasks, so there’s no conflict with actual project data.

Tasks In Progress
  • Editable, But Cannot Be Deleted: You may change the task details (e.g., cost, resources), but if you want to remove the task entirely:

    1. Delete Associated Daily Reports first.

    2. Then delete the task from the estimate.

Completed Tasks
  • Locked: You cannot delete or edit completed tasks.

  • Completed tasks are part of your project’s historical data and financial metrics, ensuring no retroactive changes disrupt project records.

Adding New Deliverables or Tasks
  1. Click “Add Deliverable” or “Add Task” within the estimate interface.

  2. If your estimate was already balanced (top-down and bottom-up), best practice is to add these at zero cost initially (i.e., 0 for deliverable cost and 0 for task cost).

  3. Assign resources and enter the required hours.

  4. Use the Update button at each level (Resource → Task → Deliverable → Project) to roll up the new costs. This ensures the parent costs reflect the new additions, keeping the estimate balanced.

Keeping the Estimate Balanced

When you add, edit, or delete items in your estimate, descon.ai will flag discrepancies between top-down targets and bottom-up calculations.

Finalizing Your Edits
  1. Review all deliverables, tasks, and resources for completeness.

  2. Ensure no warnings remain.

  3. Save your changes.

Your updated estimate will now reflect the latest scope, costs, and resource allocations. Any subsequent project functions (like timelines or task management) will use these revised figures.
