Introduction
When you create a project estimate in descon.ai, each deliverable and task defined in that estimate automatically becomes a workable task. This setup streamlines project management by linking your financial planning to the actual work your team will execute.
Accessing Your Tasks
Project Tasks
Go to any project and select the Tasks section from the project menu. This view displays all tasks within that project—both yours and those assigned to your colleagues.
My Tasks
If a task is assigned to you in Manage Resources, that task also appears under Task Management > My Tasks. This gives each user a personalized list of their responsibilities, making it easy to stay organized.
Collaborating on Tasks
Clicking on a task opens a thread where team members can share updates, discuss challenges, or provide feedback. Here are some key features:
Attachments & Links: Users can upload files, images, or share hyperlinks relevant to the task.
Running Log of Updates: The conversation thread stores all activity and comments for reference.
Changing Task Ownership
In some cases, you may need another colleague to own or drive a specific task. To do so:
Click the three-dot icon on the task’s panel.
Select Assign Task.
Choose the teammate you want to transfer ownership to.
This is especially useful when handing off responsibilities between departments or when the task scope evolves.
Managing Task Status
Tasks in descon.ai have four main status points: Open, In Progress, Snoozed, and Completed.
Open → In Progress
Tasks are automatically marked In Progress the moment a daily report is logged by any resource assigned to that task. This ensures the status reflects real-time activity.
Snoozing a Task
If a task must be paused temporarily:
Click the three-dot icon on the task.
Select Snooze and specify a reopen date.
Until that date arrives, the task is on hold. Once the date is reached, the task reopens automatically.
Closing (Completing) a Task
When a task is finished, users can close it:
Click Close Task from the task’s menu.
The task status changes to Completed.
Reopening a Completed Task
On occasion, you may need to reopen a completed task if new work or corrections arise. Reopening it counts as a revision for the task, preserving a clear change history.
Daily Reports and Automatic Progress
Each resource assigned to a task can log their daily hours using the Daily Reports feature. Whenever hours are logged for a task:
The task automatically moves to In Progress if it was previously in an Open state.
Daily report entries become part of the project’s time-tracking records, helping you measure actual vs. estimated hours.
Leveraging nSage for Knowledge Management
All the data and discussions stored in a task’s thread can be accessed at any time via nSage, descon.ai’s AI-powered assistant. Whether you need to revisit an old design decision or reference a technical detail years down the line, nSage ensures that the knowledge is easily retrievable, democratizing your firm’s collective expertise.
Best Practices
Assign a Single Owner: Always make sure each task has a primary owner for accountability.
Snooze vs. Close: Use Snooze for temporary holds. Only close a task when it’s truly complete.
Regular Updates: Encourage team members to use the task’s thread for quick updates. This fosters transparency and keeps everyone aligned.
Monitor Revision History: If tasks are reopened, it’s tracked as a revision—handy for auditing scope changes.
Conclusion
By automatically creating tasks from the estimate phase and providing built-in collaboration tools, descon.ai ensures your projects stay on track from planning to completion. Plus, with nSage’s AI-driven knowledge retrieval, your firm’s task-related data remains at your fingertips long after project closeout.
